General1
After much deliberation and time Rachael settled on the business name 'Mix & Munch' as in all classes we mix ingredients together may that be for Focaccia, the tasty ingredients of Chicken enchiladas or an Autumnal crumble topping and in mostly all classes we eat together. For the 6-12 and SKC classes we cook and then eat lunch/supper together and leftovers (if you are lucky!) are bought home and for Pre-School classes whilst what we make is taken home we always have a snack and tasting time when we taste foods from around the world. For our older classes what is made is bought home but there is always a snack available that is from the area of the world that we are focusing on each week...so its Poppadums & Mango chutney for India or Tortillas & Salsa for Mexico.
Also a key idea behind Mix & Munch is the idea of "tasting the world" exploring world foods together - Mixing up foods and ideas, experimenting, bringing different cultures, different ages together through the world of food.
So at Mix & Munch we Mix & Munch together around the world.
Holiday Classes
For our 5-10 year and 10-15 year Holiday Cooking Classes there is a Cook Lead and Cook Assistant -m the maximum number of cooks is 13.
All classes have a trained first-aider and a complete and annually checked first-aid kit. A list of parents numbers is available at all the classes that parents do not attend in case of an emergency.
After-School Cooking Classes
Minimum number are 12 and maximum are 14 (KS1 and 16 for KS2).
A key consideration at Mix & Munch is to keep the cooks safe and therefore before any booking is paid for a few questions asking about allergies are given to complete. If an allergy has been mentioned Mix & Munch may contact the parents to obtain more information on the severity of the allergy or any background history. This is to keep everyone safe and happy.
If the cook has been presribed an epi-pen this must be bought to the class and given to the teachers upon arrival.
The questions on allergies are asked each time a booking is made although once you are logged on as a user on the website the information will be kept for the next time you make a booking. If for some reason your child develops any kind of allergy you must notify Mix & Munch immediatley for any classes that they are planning to alttend.
A list of possible allergies are in the attachment above. Although additional any allergy to any pet should be noted too.
Mix & Munch Ltd – Privacy Policy
What type of information does Mix & Munch (M&M) collect?
When you sign up your little or big cook to do a cooking class, M&M will need only the parents name, address, email & phone number (and carers number), the name and age of the cooks and whether the cook has any food allergies.
When you sign up as a member your credit or debit card information will be collected and saved. This is all held securely by WIX which has its own firewalls and payment systems.
WIX may use software tools to measure and collect session information, including page response times, length of visits to certain pages, how you found the www.mixandmunch.com website page (directly or via a social media platform), interaction information and methods used to browse away from the page.
How does M&M collect information?
When you conduct a transaction on our website (such as signing up to a cooking class, when you send a message through a contact form or when you subscribe to the newsletter) or if your child has attended a party or class before, as part of the process, we collect the personal information that you give us such as your name, address, phone number and email address.
Why does M&M collect such personal information?
We only collect any personal information (PI), for example, email addresses for M&M marketing campaigns, any classes that might be of interest etc – when we email directly. No information is passed onto any third party unless we have your permission or are required by law to do so. We are committed to protecting and respecting your privacy and we fully endorse and adhere to the requirements of the General Data Protection Regulations that replace the Principles of the UK Data Protection Act 1998. The new regulations come into place 25/05/18.
Information such as whether your children have any allergies, DOB, name etc is to ensure that we run the cooking classes in the safest and healthiest way possible for all the cooks and the teachers. It is also needed to comply with insurance purposes and current Covid restrictions.
How does M&M store, use, share and disclose site visitors' personal information?
Mix & Munch Ltd’s website is available on the hosting company Wix.com platform and database hosting company Mailchimp. Wix.com provides us with the online platform that allows us to sell our products and services to you. Your data may be stored through Wix.com’s data storage, databases and the general Wix.com applications. They store your data on secure servers behind a firewall. Both Wix and Mailchimp use security measures to protect against the loss, misuse, and alteration of any information. The information is stored in a database in a secure environment at their data/hosting centres.
Wix.com collects statistical data about our users' browsing behaviour, the type of devices and software being used by them and their geographical location. Statistical information is only used by us to understand user behaviour, to provide a better service and to customise our website accordingly.
All direct payment gateways offered by Wix.com and used by our company adhere to the standards set by PCI-DSS as managed by the PCI Security Standards Council, which is a joint effort of brands like Visa, MasterCard, American Express and Discover. PCI-DSS requirements help ensure the secure handling of credit card information by our store and its service providers.
How does M&M communicate with its site visitors?
Mix & Munch may contact you to notify you regarding your class bookings or if there are any class changes or if there are any new classes that might be suitable for your cooks. We would firstly contact you via email and then if there was no response and there was an issue such as a cancellation or change of a class, we would ring you or WhatsApp you. We will never send any information through the post. Your address is collected only so that we know the local areas where our cooks are travelling from to attend our classes and what areas have heard about M&M!
How does M&M use cookies and other tracking tools?
Cookies are small text files that are placed on your computer by websites that you visit. They are widely used in order to make websites work, or work more efficiently, as well as to provide information to the website owners. Most web browsers allow some control of most cookies through the browser settings. Mix & Munch does use essential cookies, as it uses Wix Booking Services. So that you can easily see our content and follow us on social media websites, we include social media sharing buttons on our website which will also use cookies.
Our website uses Google Analytics to collect statistical data. These cookies help us to provide you with the best experience and also allows us to continually improve our website by providing us with information about how users interact with our site, for example the number of visitors to the site, the pages they visit and the length of time they spend on the site. The cookies do not collect information that identifies a user and all information is aggregated and is therefore anonymous. How can M&M site visitors withdraw their consent?
If you would like a copy of the information held on you please contact us at hello@mixandmunch.com. If you believe that any information we are holding about you is incorrect or incomplete, please contact us here as soon as possible. We will promptly correct any information found to be incorrect.
If you are a previous customer and no longer wish for us to hold your personal information or receive any marketing information from us, please contact us at hello@mixandmunch.com or phone Rachael on 07989 346084.Each mailshot that is sent out on the bottom of the email makes it clear that if you wish to opt out of any M&M emails or marketing to contact us asap and we will remove you from the mailshot going forward.
Privacy policy updates
We reserve the right to modify this privacy policy at any time and the policy will be reviewed frequently. Changes and clarifications will take effect immediately upon their posting on the website. If we make material changes to this policy, we will notify you here that it has been updated, so that you are aware of what information we collect and how we use it.

Mix & Munch Ltd – COVID Policy
For our Pre-School Cooking Classes (since June 2020).
The COVID guidelines we continue to have in place:
All little cooks and parents/carers to access the class through the side back gate.
Hand washing of all little cooks and parents/carers upon arrival and also again before cooking (for the cooks).
There will be no shared towel only kitchen roll for drying hands on which can be disposed off in the bin.
Sanitiser available at all times.
All surfaces, toilet seats, handles, sink etc will be bleached before each class.
Try not to bring anything additional to the class – to minimise outside infection.
If your little cook or anyone in your household has any of the 4 key Covid symptoms (cough, temperature or loss of taste or smell) at least 24 hours before the class please can you let me know and keep your little cook at home.
If your little cook is ill up to a week after the class and has a positive Covid result please let me know.
Track & Trace system in place – I keep a register for all my classes.
Try to avoid use of public transport (staff and guests).
Parents/cares to wear a mask whilst attending the class whilst inside.
Parents/carers encouraged to sit in the garden during the class.
For our 6-12 Year old Holiday Cooking Classes, Saturday Kitchen Club (SKC) and Birthday Parties
The COVID guidelines we continue to have in place:
Face masks to be worn by parents/carers when cooks are picked up and dropped off
Parents/carers to come to the back door on pick-up, we will bring your cook (s) out
Parents/carers who are picking up and dropping off cooks should try and avoid interacting with other parents, making pick up and drop off relatively quickly and keep to the 2m rule as much as possible
Do not bring anything to the class – we will provide all the cooks with cups for water and all the aprons etc
All cooks to access the class through the side gate
Hand washing of all cooks upon arrival and also again before cooking
There will be no shared towel only kitchen roll for drying hands on which can be disposed off in the bin.
Sanitiser available at all times

All recipes, aprons, food, take-away containers etc are provided to minimise outside infection.

If your cook is ill up to a week after the class and has a positive Covid result please let me know.

For our 11-15/12-14 After-School Classes
The COVID guidelines we continue to have in place:
Face masks to be worn during the class by the cooks apart from if they eat or are drinking during the snack time
Cooks will immediately go and wash their hands when arriving at the venue and again before cooking (10 minutes later after a health & safety talk
Nothing needs to be bought to the class – we will provide the cooks with cups for water, snack and all the aprons, food, utensils, take-away containers.
All cooks to access the class through the side gate
There will be no shared towel for hand washing only kitchen roll for drying hands on which can be disposed off in the bin.
Sanitiser available at all times.
All surfaces, toilet seats, handles, sink etc will be bleached before each class

Mix & Munch – Cancellation Policy
General Principles
This policy applies to all Mix & Munch (M&M) Cooking classes, parties, and events.
Please ensure you read the correct section, depending on who is making the booking and for what type of session. A ‘cook’ is a child booked into a M&M session.
All class bookings are confirmed once payment is received; parties are confirmed once the deposit is received. As ingredients and staffing are arranged in advance, cancellations cannot be automatically refunded and will be subject to the terms set out below.
Section A – Parents/Guardians
This section applies where bookings are made by a parent or guardian acting in a personal capacity, including birthday parties, holiday classes and individually booked after-school clubs (BCPH school only)
A1. Customer Cancellation by Parents (Group Holiday Cooking Classes)
Holiday Classes (3 hours) in Wandsworth for 5-10yr and 10-15 yr olds
More than 7 days’ notice: full refund or credit
Within 7 days: non-refundable (unless a replacement cook is found)
Children with a confirmed or suspected contagious illness (e.g. upper respiratory, gastrointestinal or skin infections) cannot attend for safeguarding and food hygiene reasons.
· If a child is unwell, parents may request to transfer the booking once to another date if notice is given before 6pm on the day before the session. Transfers are subject to availability and the session cannot be refunded. Transfers are termed a “credit”.
Whilst the Mix & Munch team will try to support every child, if the team find that a child’s behaviour is potentially disrupting the running of the class then the cook will need to be removed by the parent / guardian and no refund will be given.
Non-attendance on the day - No refund or credit.
While refunds outside the stated terms cannot be guaranteed, a credit may be offered at our discretion in genuine cases.
A2. Customer Cancellation by Parents (Birthday Parties & Private Events)
The costs and timeframes are detailed in the individual invoices sent out for each party or event.
· A 25% non‑refundable deposit is required to confirm the booking once the date / venue / number of children have been agreed.
The remaining balance is due 14 days before the party or event.
All invited cooks must submit allergy, food intolerance, and religious preference information on the required booking form. The parent or organiser hosting the event is responsible for providing all the invitee’s contact details in order to facilitate this process. If a signed booking form is not received at least 7 days before the event, Mix & Munch reserves the right to cancel that invitee’s place without a refund.
Cancellations
If the organiser needs to cancel the event within two weeks of its scheduled date (i.e. after the balance has been paid), M&M will try to reschedule to a mutually agreed date and time within a three-month period.
If a mutually suitable alternative date within the 3-month window cannot be agreed, the balance will be refunded minus the deposit or costs already incurred (whichever is higher).
While refunds outside the stated terms cannot be guaranteed, M&M reserves the right to offer a transferrable credit at their discretion in genuine cases.
Changes to Cook Numbers
Final numbers must be confirmed 7 days before the event.
Reductions after this point cannot be refunded.
Subject to space and staffing, additional guests may be added at additional cost provided any allergy and preferences information can be accommodated.
A3. Customer Cancellation by Parents (ASCC – Payment directly from Parents)
Currently, parents of children at BCPH school book directly with M&M one of the two After-School Cooking Classes (ASCC) at BCPH.
Bookings are made on a per-term basis and full payment must be made at least one week before the end of the prior term (e.g. to book summer term classes, payment is required before the last week of the Spring term).
If a parent later wishes to withdraw their child from the classes and secures a replacement cook to take their child’s place for the remaining classes, then their booking can be refunded on a pro-rata basis. If the parent cannot secure a replacement who completes the necessary booking forms, no refund can be given.
Late Payments
Details of the payment information for the ASCC will be sent directly to parents as soon as the booking period has closed and Mix & Munch has received the list of attendees from the school. If the first class of the term has started and no payment has been received than an administration fee will be applied to the course term fee. The fixed late fee of £15 per week from the date of the first class will be charged.
A4. Mix & Munch Cancellation or Changes
In the unlikely event that Mix & Munch needs to cancel or amend a cooking class due to; staff illness, venue issues, safeguarding concerns, food safety matters, health and safety risks, insufficient enrolment (minimum numbers are 12 cooks for ASCC and Holiday Classes per cooking session scheduled), or any other circumstances beyond our reasonable control:
· Parents will be offered either a full refund or the option to transfer to an alternative date.
· We will endeavour to provide as much notice as possible.
No additional compensation (including travel costs) will be payable.
A5. Legal Rights
Nothing in this section affects your statutory rights under UK consumer law.
Section B – Schools & Organisations
This section applies where bookings are made by schools, academies, local authorities, or other organisations.
B1. Booking Basis
Organisational bookings for ASCC are agreed to on a termly timetable.
Once confirmed in writing (including email from the Club Co-ordinator), the organisation commits to the full block for the term at the price agreed (detailed in the MOU or through updated agreements via email). Additional cooks can be added at additional cost if there is space and minimal disruption to the group.
Allergies/food intolerances/religious preferences must be provided by the school to Mix & Munch Ltd at least a week before the first ASCC is due to start. M&M reserves the right to delay starting the classes until this information is completed, and any classes that are missed as a result will not be refunded.
A minimum of 12 cooks enrolled per session is required to ensure that the class runs and that the stated price in the MOU between Mix & Munch and the school is honoured. If there are less cooks the price per cook will have to increase to cover costs.
B2. Organisation-Initiated Cancellation
If the school decides to stop running the After-School Cooking Classes, it must give a least a full term’s notice to Mix & Munch. If the school cancels a confirmed term booking with less than one month’s written notice prior to the start of the term, the school will be liable to pay a cancellation charge equal to 50% of the total fees for that term. This is the amount charged per session with a minimum of 12 cooks in the price agreed in the MOU or subsequent agreed correspondence. This charge reflects a reasonable estimate of the costs and losses incurred by Mix & Munch, including staff allocation and loss of opportunity to rebook the sessions.
B3. Exceptional Closures
Where a school or organisation is closed due to exceptional or emergency circumstances (e.g. unsafe premises, severe weather):
Mix & Munch will make reasonable endeavours to reschedule.
As invoices to schools are sent in arrears, no charge will be made if the closure is no more than a week.
If the closure continues longer than a week, the ASCC will be charged at 50% per class for as long as the scheduled classes cannot resume.
B4. Mix & Munch Cancellation or Changes
Mix & Munch may cancel or modify sessions due to:
Staff illness or unavailability
Safeguarding, food safety, or health and safety concerns
Insufficient enrolment (to run all Mix & Munch classes a minimum number of 12 cooks for each class has to be enrolled[SM1] )
Events beyond our reasonable control
In such cases, a replacement session or credit will be offered (for ASCC, there will be no charge for the missed session)
No additional compensation is payable.
Section C. Applicable to all courses and classes run by Mix & Munch Ltd:
C1. Staffing
Mix & Munch reserves the right to substitute staff. All staff are subject to appropriate vetting processes and receive the training required for their role.
C2. Force Majeure
Neither party shall be liable for failure to perform obligations where this results from events beyond reasonable control, including (but not limited to) severe weather, public health emergencies, government restrictions, transport disruption or utility failure.
C3. Governing Law
This policy and any related contracts are governed by the laws of England and Wales.
C4. Credits
Credits are valid for 6 months from the date of issue
Credits are non-transferable
Credits cannot be exchanged for cash
C5. Legal Rights
Nothing in this policy affects customer’s statutory rights under UK consumer law.
C6. Late Arrivals
Due to food preparation and cooking times, sessions must start promptly.
Late arrivals may miss parts of the activity, but the session cannot be extended and no partial refunds can be given.
C7. Class behaviour and expectations
Children must follow safety instructions at all times. Cooking Class Rules and expected levels of behaviour are outlined at the beginning of each class.
If a child’s behaviour is significantly disruptive to the class, or puts themselves or others at risk, their family / carer will be contacted to collect them and no refund will be given.

For Schools & Organisations a copy is sent with the Memorandum of Understanding (MOU).
